It's been a hot minute since I wrote a blog post with organization and productivity tips in it, so I'm sending one now!
I feel like I have a pretty good excuse though - I've been growing a human since August, and we're due with another baby Fahey-Ahrndt in April 2024! Yup…that's kiddo #3…my organizational systems are about to be tested at a whole new level lol :D
Now I'm in second trimester - my energy is back and I'm only sick a little bit vs. all the time. yay! lol
So I'm back to video making and strategy sharing, and the topic I'm starting with is even surprising to me….
HOW TO GET TO THE ELUSIVE INBOX ZERO…I know…
If you've been around since I started my channel in 2020 or if you're an OG from my 2018 podcast beginnings, you'll know that I despise email. In fact, I've loudly shared that I think it's the worst way to communicate in the workplace, and if I could, I'd boycott it.
Buuuuttt…since email isn't going away at work, I have continued to look for ways to reduce the stress and anxiety of it, and part of that is getting rid of as many emails as I could while still taking action on the most important to-do list items for my job and career.
In September I spoke at and attended a conference for laboratory professionals, and one of the other speakers talked about how she achieved inbox zero.
I really liked her approach, but I felt like I needed a system or at least a way to explain or articulate how to do each step she was taking. And better yet, I wanted these “rules” to be easy to follow and actually work for me.
Over the last couple months, I've been defining the rules to my own system for inbox zero, and I finally got to the point where I really wanted to share this with you.
The timing with second trimester energy was right, and so last week I filmed a video on how exactly to achieve inbox zero PLUS get your actual work done with the “5 Minute Rule.”

Bucket 1: Immediate Action Items
When you open an email…do you know what to do with it immediately? If yes – Get it done! Whether it's a quick task taking less than 5 minutes or a slightly more extended endeavor, taking immediate action is key. The rule is simple – if a task can be completed swiftly, do it now or schedule a brief window in the near future. Add it to your to-do list for a satisfying checkmark moment.
Bucket 2: Unsure? Jot It Down, Archive, and Conquer Later
For tasks leaving you unsure of immediate action, create a to-do list. Jot down the email's subject and sender, archive it, and rest easy knowing the keywords are stored for future retrieval. A common trap to avoid is clicking on emails without time to decide, leading to clutter accumulation.

Escaping the pitfalls that hindered the journey to inbox zero is crucial. Recognizing and addressing these traps include avoiding the time crunch trap, embracing archive functions, streamlining reading habits, and steering clear of turning the inbox into an unstructured to-do list. To prevent the clutter that sabotages organizational success, we delve into common pitfalls and their solutions.
Time Crunch Trap
Clicking without deciding often results in clutter. Overcoming this trap involves setting aside dedicated time to make decisions on emails, preventing them from being lost in the chaos. To resist the urge to look at and click on emails at any time of the day (even between meetings or at home), schedule a dedicated block of time at the beginning and end of the day to sort through your inbox. That way, you know you’ll have the time.
Archive Anxiety
Many fear archiving, thinking it means losing crucial information. However, a well-organized archive, coupled with efficient search functions, can be a powerful ally in finding information when needed. When searching my archived emails, I toggle my search to “all items” and include “from:” with the senders name or specific keywords. If I’m looking for an attachment, I filter to sort for emails with attachments. The more you search, the more efficient you get at this. It becomes second nature over time.
Romanticizing Subscriptions
Streamlining reading habits is essential. Rather than romanticizing subscription emails, a quick skim for value ensures efficient use of your time. Archive or delete if the content doesn't align with your current priorities or if you just know you can’t dedicate the time to fully take in the information.
Ignoring Important Tasks
Avoiding the perils of using your inbox as a to-do list involves recognizing the need for prioritization. Clearing clutter and organizing tasks prevent important items from becoming invisible in the sea of emails. Remember, clutter attracts clutter. The more you avoid decision making or archiving, the easier to becomes to let your inbox zero become further and further away.

Turning Unknowns into Triumphs!
The most exciting part of the journey lies in tackling tasks you have no idea how to handle. Overcoming the unknowns is achieved through a 5-minute strategy involving questioning and planning.
Question and Plan
In just 5 minutes, ask yourself what it takes to accomplish a task. Create a bulleted list outlining the steps, breaking down a seemingly colossal task into manageable actions. You can ask yourself the question prompt, “What steps would get me from where I am today to completing the task or goal?”
Bulleted Lists
Breaking down big tasks into manageable steps is a proven strategy. Here’s an example of a recent “big task” that I broke down into a bulleted list that helped me get clear about how to accomplish it with ease.
To-Do Item: Submit Funding Request
Identify the form name and location of the form
Review form to determine what information I needed to complete it.
Identify information I already had and what further information I needed.
Gather further information
Schedule time to complete the form
Complete the form
Communicate to stakeholders that the funding request had been submitted.
A bulleted list reveals the simplicity of the process. This method not only shows smaller actions for progress but also provides a roadmap, eliminating the unknown factor.
Boosting Confidence
Transforming unknowns into achievable goals boosts confidence. Scheduling time for each step in your calendar ensures steady progress. The 5-minute thinking, getting curious, and planning strategy unveils the simplicity of tasks, removing unnecessary fear.
Daily Habits and Practice
Let me be real, this system only works if you sustain it, and it’s dependent on creating and practicing daily habits. Life is full of seasons, some more full than others. So don’t beat yourself up if you try this and fall off the band wagon later. That happens to the best of us. Just pick this practice back up, and I know it will make a huge difference for you and whip that inbox back into shape quickly!
